JOB TITLE: Procurement Executive
REPORTING TO: Finance Manager

Allied Services, a logistics company with operations in South Sudan, Kenya, Uganda and UAE are searching
for a Procurement Executive to join their team of focused Human Capital in Juba, South Sudan who will support
and oversee the daily activities in the Procurement function of the organization;

Key Responsibilities.

  • Preparing plans for the purchase of equipment, services, and supplies while following and enforcing the company’s procurement policies and procedures.
  • Reviewing, comparing, analysing, and approving products and services to be purchased. Approve Guest House Requisitions for stocks after they have been raised by the Admin Assistant/Guest House Supervisor in the right manner.
  • Managing inventories and maintaining accurate purchase and pricing records including Maintenance of the asset register for all offices including guest houses.
  • Maintaining and updating supplier information such as qualifications, delivery times, product ranges, Vendor information Sheets, vendor code of conduct and any other procurement documents.
  • Maintaining good supplier relations and negotiating contracts including Researching and evaluating prospective suppliers.
  • Ensure all vendor contracts are valid and in place and filed in the correct file both
    Soft and hard copies.
  • Preparing budgets, cost analyses, and reports.
  • Maintain copies of vouchers, invoices or correspondence necessary for files. Maintain a file for each supplier.

  • Raise requisitions on SAGE and create related PO for approval by Finance Manager/GM for supplies, repairs and maintenance
  • Verify works have been done in a satisfactory way before vendor is paid where maintenance is requested,
    (RQN &PO must be there)
  • Stock take on monthly basis on the Guest house items and office supplies and submit a report of the same to Management (ensure all GH assets as per asset register are accounted for)
  • Work hand in hand with Admin Assistant/ Guest House Supervisor to ensure all supplies are delivered and Guest House maintenance and repairs are done on time whenever they are required.
  • Reconciliations of fuel utilization and vehicle mileage for the company’s vehicles to be done weekly.
  • Periodic Archiving of Physical documents from all departments at the organizations offsite location

Skills, Competencies and Experience .
The successful candidate will be required to have the following skills and competencies:

  • Degree in accounting, business management or a similar field preferred.
    Certified Public Accountant (CPA-K) qualification a MUST
  • 3 to 5 years work experience as a Procurement Officer or in a similar position
  • Proficiency in SAGE, Microsoft Office and purchasing software.
  • Strong communication and negotiation skills.
  • Good analytical and strategic thinking skills.
  • Supervisory and management experience.
  • Attention to detail.
